Assessing the Success and Needs of Your Society

At PIPEX 2024, the Collaboration Crew organized a meeting of the convening societies that focused upon successes and challenges being faced. This tool emerged as a mechanism for assessing your society and facilitating necessary planning. Each of the three identified key society components could be evaluated based on a simple ‘ME’ (Meeting Expectations) or ‘IN’ (Improvement Needed). This assessment facilitates requesting specific strategies that other societies have developed to support challenging domains.

Structure _____

• Mission & Vision and Bylaws are clear and updated
• Executive positions reflect the desired capacity for the society
• Leadership team is active, engaged, monitoring and setting/reviewing goals
• Leadership development is a conscious component of planning
• Dues are kept at a minimum level to support membership and recruiting efforts

Membership Connectedness _____

• Regular communications with membership (newsletters, publications, emails)

• A high quality publication that is distributed on time with specified intervals

• A website that is current, informative and easy to use

• Opportunities are afforded for membership engagement

• A Social Media plan with connections and interactive opportunities

• Meetings at Exhibitions or other face to face interactions

• Zoom presentations and/or opportunities to share

• Mentorship services and/or educational efforts

• A recruiting plan for new members (that reflects youthful directions)

Philatelic Connectedness & Beyond _____

• Ensures visibility for the larger philatelic community in a variety of ways (incl. writing for other organizations or societies)

• Celebrates and recognizes excellence and outstanding contributions to philately

• Evaluates and considers the merit of affiliate memberships in key leadership organizations that provide outreach support for the hobby (such as the APS)

• Demonstrates support for philatelic events, regionally, nationally, internationally

• Promotes a desire and willingness to collaborate with other philatelic societies for the greater good of philately

• Educates the public on the importance and contributions that philately and philatelic research make to society.
